The online store at www.okabo.org is bound to protect the privacy of its customers and hereby provides the customer with the opportunity to influence how their personal information is handled. 2. 2. Collecting personal data

We collect personal data for following registers:

2.1. Customer register

Data provided by the user or data personally identifiable information
  • name
  • address
  • e-mail address
  • phone number
  • data perceived using services and analytically processed data
  • purchase history, e.g. ordered products and their price information
  • delivery information such as selected delivery method and delivery address
  • browsing information at the online store and identification information gathered from the terminal equipment
  • information about product recommendations and other information and identifiers used for targeted content

Disclosing your name, contact and payment information is mandatory when buying online at www.okabo.org.

The information is solely provided by the user.

2.2 Newsletter register

When subscribing to the newsletter the subscriber provides the following information

  • name
  • e-mail address.

We use the e-mail address provided by the subscriber to send the newsletter. Additionally, we need a confirmation that the subscriber, as the owner of the e-mail in question, agrees to receiving the newsletter. If you do not wish to receive our newsletter in the future, you can cancel your subscription anytime. To do so, please send a notification given in text format using the contact information mentioned in section 1 (e.g. by e-mail or regular mail). All our newsletters also contain a link that enables the cancellation of the subscription.

3. Collecting, processing and using personal data

We collect, save and process our customer data during the whole purchasing process in order to improve our services and business processes, on behalf of our own marketing purposes (for further information look up section 3.1.) and for preventing felony and fraud. We will disclose personal data to outside parties only when it is permitted by law, e.g. for executing and marketing a contract, for invoicing purposes or in case the customer has agreed to it beforehand. For executing the order, we will provide external service providers (e.g. Posti and banks) only with data that is essential for executing the order and the contract. Our service providers are allowed to use data disclosed like this solely for executing their tasks.

3.1. Using data for marketing purposes

We use your data along with executing your purchases to following purposes: for improving your customer experience and for modifying your experience even more customer-friendly and individualised as well as for communicating with you on behalf of your order.

For the purposes of this we use available data, e.g. data concerning your terminal equipment, internet connection, operating system, platform, date and time of visiting the website and viewed products, and the data that we have received from you including automatically sent or generated data. Additionally, we use your order history.

3.1.1 Newsletter

We use the e-mail address provided by the subscriber to send the newsletter. 3.1.2 Banner advertising

During your visit at our website we collect data to show you so called banner adverts. They are adverts that are linked to websites of external parties. This usually happens using cookies or pixels. Our goal is to adjust the content of our advertising interesting and useful for you. Because of this you the banner adverts will mainly show you products that have already been viewed by you at our website, or products that resemble the products viewed by you (re-targeting). We only use anonymised data for banner adverts; unambiguously identifiable personal data (e.g. name and e-mail address) will not be saved in the cookies.

3.1.3 Giveaways, marketing surveys and opinion polls

As to giveaways, we only use your data to inform about the win. You will find detailed information in the terms of participating of each giveaway.

Additionally, we use your data for marketing surveys and opinion polls. We do not use data collected for marketing surveys and opinion polls for marketing purposes. Detailed information (particularly about the evaluation of your data) you will find in each survey or in the section where you disclose your data. Data disclosed for surveys and polls will not be disclosed to external parties and will not be published.

4. Cookies

It is not necessary to accept cookies to visit our website. However, the features at our webpage and in our services are restricted, will the cookies not be accepted.

4.1 What are cookies?

Cookies are small files that are saved on your data carrier which store specific information about your preferred settings and any other data that our system needs when interacting with your browser. There are two different kinds of cookies: session cookies, which are deleted the moment you quit your browser; and temporary/permanent cookies, which are stored on your data carrier for a longer period or, in some cases, permanently. 4.2 What kind of cookies does Okabo.org use?

A large number of the cookies used by Okabo will automatically disappear from the internal storage after the session has been ended. Therefore, they are also called session cookies. Session cookies are needed e.g. to maintain the shopping cart feature on multiple pages. Furthermore, we use permanent cookies, which will be automatically deleted from your computer at the end of their lifespan (30 days to 5 years). The data stored is collected at certain times, allowing us to see which products have been viewed most frequently. This, in turn, enables us to modify our selection to be more user- friendly, effective and safe.

4.3 What kind of information is stored in the cookies?

The cookies used by Okabo are never used to store any personal information. Therefore, our cookies cannot be traced back to an individual user. Once a cookie is activated, it is given an ID number, which is solely used for internal reference and cannot be used to identify the user or access any personal information, such as your name or IP address. The anonymised information we receive from the cookies allows us to assess which pages of our site are visited the most and see which products were most popular etc.

4.4. On-site targeting

The Okabo website collects information that could be useful in tailoring our adverts and online offer to our customers. This information is not used to identify you as a user; it is solely used for the optimization of our website. Information collected by our cookies is not stored with our customer’s personal information or order information, it is only used to provide our users with adverts and/or notification of offers and services that are suited to their individual tastes, using click stream analysis (e.g. adverts for reduced trainers if a customer has been browsing our sports shoe selection). Our goal is to provide you with a shopping experience suited to your tastes and shopping preferences.

4.5. Third-party cookies at the Okabo website

Cookies from specific business partners are allowed by Okabo for the purpose of tailoring their adverts to your tastes and browsing habits, so cookies from some of our partners may be stored on your computer when you visit our site. These cookies are temporary/permanent cookies, which will be automatically deleted from your computer at the end of their lifespan (30 days to 5 years). As with our cookies, these third-party cookies do not collect any personal information. The data stored is collected at certain times, allowing these companies to see which products have been viewed most frequently but this is done completely anonymously under randomly designated user ID numbers. Therefore, this data will never be pooled with any personal information you have given Okabo. Third party cookies have the sole purpose of allowing our partners to advertise products that may interest you.

4.6. Re-targeting

Our website uses retargeting, which allows us to make our online offer more interesting for you. Retargeting technology means that we can advertise recently viewed and related products on our partners’ websites, meaning our adverts, even on other companies’ sites, are relevant to what you would like to see. We do this by analysing user behaviour from data collected by our cookies. Even this kind of information is anonymous, with no personal information being stored and no user profiles.

4.7. How can I prevent cookies from being stored on my computer?

You can change the settings in your browser to ask for your permission every time a cookie tries to access your computer. Instructions for this can be found at www.aboutcookies.org.

If you would like to accept Okabo cookies but block our service providers’ and partners’ cookies, you can set your browser to block third party cookies.

5. Log Information

Every time you visit Okabo, information is sent from your browser to our server log files, where it will be saved. The information transferred includes: time and date or visit to our site, which pages were viewed, IP address, URL of the site that referred you to Okabo, how much information has been stored and which browser you have been using. Once we have all this information, all IP addresses are deleted or anonymised. Anonymisation means that your IP address is changed in such a way that they either cannot be linked with the original user or can only be linked through extensive research.

The anonymous information stored in this log file is then used to improve the shopping experience on the Okabo website by making our navigation more user-friendly, finding errors quickly and directing our server’s capacity to where it is needed most. For example, this information allows us to work out our busiest times and plan enough server power for those times to keep our site running as quickly as possible.

5. Web Analytics

In order to constantly improve and optimise our selection we use a so-called tracing system. For this purpose, we use the Google Analytics service.

This website uses the Google (Universal) Analytics service, a web analytics service provided by Google Inc. (www.google.fi). Google (Universal) Analytics is based on methods that can be used for analysing a customer’s browsing behaviour e.g. by using cookies. 7. External parties’ re-targeting and data collection for banner advertisement

8. Regular disclosures of data

We will not disclose personal data existing in our registers unless it’s necessary to execute deliveries of online purchases or to send the newsletter.

8.1. Payment transmission

Paytrail Oyj (2122839-7) acts as a collecting payment service provider and is an authorized payment institution. Paytrail Oyj is contractually bound to agree with the privacy policy when handling personal data disclosed to it.

Paytrail Oyj (2122839-7) acts as a collecting payment service provider affiliated with online bank payments. For the user the service works like traditional online payments.

8.2. Sending the newsletter

For sending the newsletter we use an external service called Mailchimp Marketing Automation Service which is operated by

8.3. Delivery of orders placed online

9. Processors

Customer data can only be accessed by the employees of Okabo Organics and our staff is bound to use the data securely and ethically. Our staff can only access customer data as far as it is necessary for completing work tasks related to the customer in question.

We work with reliable contract associates; thus, data can be disclosed to a third party. The General Data Protection Regulation (GDPR) of the European Union and other legal requirements will be considered in contracts with all our associates. 10. How long will my data be stored?

We will store your personal data as long as it is necessary for the purposes named in this data protection declaration. We may also store your personal data for other purposes if or as long as the law allows us to store it for particular purposes, including liabilities concerning accounting and consumer sales.

If the customer so wishes, all personal data concerning the customer can be deleted or anonymised from the systems at www.okabo.org. Deletion and anonymisation are irrevocable, and deleted customer accounts cannot be retrieved.

For legal reasons, some information must be stored long-term, e.g. for the following purposes:

  • The Accounting Act requires information to be stored for a longer time regardless of whether the data contains personal data or not
  • Executing liabilities concerning consumer sales
  • The log information of our systems is collected and stored in a legal way, in order to offer a juridical and secure online store for our customers
  • Backing up databases and systems of the online store in order to protect information, amend error situations and securing the information security and continuity.

11. Secure data transmission

Our customers’ personal data is transmitted encrypted. This applies to order and login data. For this we use the Transport Layer Security (TLS) protocol.

Additionally, we have secured our website and all our systems with technical and organisational procedures against data loss, data destruction, data misuse and data modification as well as against the spreading of personal data by an unauthorized person.
